Roles & Responsibilities 


Here are the detailed descriptions of our offices and the specific responsibility (each office is a one year term): 

PRESIDENT (Executive Committee):
Must obtain and provide all documentation of proof for a current, local or national  Background Check Investigation (BCI). This document must be on file with the Superintendent’s office prior to participating at an event. Preside at all meetings of the Parent Teacher Committee (PTC). Coordinate the work of the Officers and Subcommittees within the PTC in order that the purposes may be promotedAct as a PTC Liaison within the community based efforts that are affiliated and non-affiliated with TMS (example: Tempo, Boosters, Yankee Candle Co., etc.) Perform such other duties as prescribed in bylaws.

 CO—VICE PRESIDENT I (Executive Committee):
Must obtain and provide all documentation of proof for a current, local or national Background Check Investigation (BCI). This document must be on file with the Superintendent’s office prior to participating at an event. Perform duties of the president in the absence or inability of that officer to act. Act as a PTC Liaison within the community based efforts that are affiliated and non-affiliated with TMS (example: Tempo, Boosters, Yankee Candle Co., etc.)Perform other delegated duties as assigned.

 CO—VICE PRESIDENT II (Executive Committee):
Must obtain and provide all documentation of proof for a current, local or national Background Check Investigation (BCI). This document must be on file with the Superintendent’s office prior to participating at an event. Perform duties of any officer in the absence or inability of that officer to act. Act as a PTC Liaison within the community based efforts that are affiliated and non-affiliated with TMS (example: Tempo, Boosters, Yankee Candle Co.,  etc.) Perform other delegated duties as assigned.

 SECRETARY (Executive Committee)
Must obtain and provide all documentation of proof for a current, local or national Background Check Investigation (BCI). This document must be on file with the Superintendent’s office prior to participating at an event. Record the minutes of all PTC official meetings and submit minutes to the Executive Committee for approval prior to each meeting for review. Make certain that meeting minutes are approved at the following meeting during the first order of business. Keep the official copy of the local PTC bylaws in binder to be present at all meetings. Perform other delegated duties as assigned.

TREASURER (Executive Committee):
Must obtain and provide all documentation of proof for a current, local or national Background Check Investigation (BCI). This document must be on file with the Superintendent’s office prior to participating at an event. Have custody of all funds and finances of the PTC. Keep a full and accurate account of receipts and expenditures as described in PTC bylaws or as required by the Tiverton School Department. Make disbursements as authorized by the PTC executive committee or general membership in accordance with the majority vote by the general membership in attendance at the time of the vote.  Present a financial statement at every meeting of the PTC and at other times when requested by the executive committee. Perform other delegated duties as assigned.

PARLIAMENTARIAN (Executive Committee)
Must obtain and provide all documentation of proof for a current, local or national Background Check Investigation (BCI). This document must be on file with the Superintendent’s office prior to participating at an event. Coordinates BCI qualified volunteers for all event support. Must provide clear communication to available volunteers the date(s), time(s), location(s) and description of task to all eligible volunteers prior to all events using signup.com. Actively seeks new potential members in joining the PTC or volunteering and welcomes new members by providing an introduction to the PTC inner workings and the executive committee. Maintain a membership list as required by PTC bylaws. Track current proof of local and or national Background Check Investigation (BCI) for all volunteers, officers and members of the PTC. Perform other delegated duties as assigned.

 COMMITTEE MEMBER
Must obtain and provide all documentation of proof for a current, local or national Background Check Investigation (BCI). This document must be on file with the Superintendent’s office prior to participating at an event. Highly encouraged to attend all meetings in order to vote on PTC specific motions (example: bylaws, meeting times and dates, etc.). Must be present for the duration of the meeting, in order to be eligible to vote at present meeting on PTC specific motions. All parents/guardians who are present at a meeting are eligible to vote on budget specific motions that pertain to their child’s current grade regardless of their status with the PTC). Provide event support as needed. Perform other delegated duties as assigned.




Our Mission Statement

To raise as much financial support as possible to provide requested funding for all proposed opportunities approved by the Tiverton Middle School Administration both in and beyond the classroom that offer each student the best educational, social and developmental experience possible. 




PTC Guidelines and Bylaws (last updated May 5th, 2017)

Money: All funds are kept in a single bank account but the Treasurer is responsible for maintaining accurate financial reports for each grade as well as the “All Account”. There is an “All Account” maintained for purchases that benefit the entire school. 10% of the profits from each class’s first fundraiser go into this account. If there is a large financial request for the whole school, each grade can contribute to the purchase instead of waiting for the All Account to have sufficient funds. All passive fundraisers (such as Box Tops, and grocery receipt reimbursement programs) are some examples of monies that solely get placed in the All Account. Money is earned and spent as a class. Usually, the 5th Grade class starts with $300 in their PTC Account. $100 is sent from each Elementary school for start-up funds.  Whatever funds remain after all 8th Grade activities are paid for will be sent to Tiverton High School for that class.
Voting: When a request for money or a decision about an activity comes to the PTC, a vote has to be made via a meeting and votes are counted in person only.  If the request only pertains to one grade, then the parents of that grade level in attendance at the meeting vote.  If the request is for the entire school, then all meeting attendees vote. If there is not a single grade level representative in attendance, or a tie vote occurs, then the entire group in attendance votes.  All Field Trip requests are teacher generated and must be made after teachers request donations to each trip from parents of students that plan to participate in the field trip or event. All request for funds must be submitted via the proper Teacher request form and include all costs quoted by vendors to include Bus Company, tour costs, lunch costs, etc. Requests that do not include actual cost quotes will not be voted on. Curriculum based requests also require a formal quote. Administration must approve all requests for funds prior to a vote by the PTC. Administration approval does not guarantee that funds will be approved by the PTC.  The PTC does not have the power to decide IF a trip will occur. The PTC vote is just to fund or not fund the activity.
Fundraisers: A fundraiser idea is presented to the group for a vote depending on the agenda planned for the meeting. If the idea is agreed upon by  a majority vote, Mrs. Dias - Mitchell and Mr. Frerich must give final approval. All flyers have to be approved by Mrs. Dias-Mitchell before being sent home with students. The PTC uses its own copy paper but is allowed to use the copy machine located off of the main office. 


FORMS:

 PTC student volunteer form.pdf - Used by students who will be volunteering for the TMS PTC in order to gain volunteers hours that count toward their graduation requirement. Print this form and bring this with you on the time(s) that you will be volunteering. There is a second page that includes a tracking sheet for hours. Both pages must be filled out before submitting to the Volunteer Hour Coordinators.

 Printable Box Tops Collection Sheets  - Tiverton Middle School collects box tops from our students. We appreciate every single one and all box tops can be turned in at the front office within the collection tub marked "Box Tops". They do not need to be on a collection sheet. A plastic sealed bag is also acceptable. Thank you for clipping and stay tuned to our quarterly contests that we hold. You could win an amazon gift card! 



Passive Fundraisers 
Passive fundraisers allow all TMS families the opportunity to earn money for Tiverton
Middle School without selling to friends and family. The money earned from these
programs supports efforts the mission of the PTC within the Tiverton Middle School.

Box Tops for Education: Box Tops can be found on a variety of grocery items. Each
Box Top is worth 10 cents. Go to http://www.boxtops4education.com/ to register as a
supporter for Tiverton Middle School. Also, you can download the app on your smart phone to benefit from your box tops that gives TMS PTC a total of 0.20 per box top!

Stop and Shop A+ School Rewards: This new program runs October 7, 2017 through
March 29, 2018. You must register each year. Grab your Stop and Shop card and visit
https://www.stopandshop.com/our_stores/bonus_bucks/designate_school.htm?execution=e1s1 to register your card and designate TMS. If you want to register your card over the phone, please call 1-877-275-2758. This program allows you to
choose two schools if you have children in other schools. Please let all of your loved ones know, friends and family members can participate by designating the PTC as your benefactor when shopping at Stop & Shop. This really helps!  There is no cost to participate and all you need to do is swipe your card each time you shop at the store. TMS ID#10809.

Target – Take Charge of Education: Use your Target REDcard and Target donates 1%
of your purchase to TMS. This is an anonymous program so no one at TMS knows the
supporter’s names or purchases. There is no charge to participate. Go to
target.com/tcoe or call 1-800-316-6142 to link to TMS. TMS ID#92145

Clements and Lees Register Receipts:
Save your cash register receipts from these
markets and send them in to school. Both stores donate 1% of your shopping total back
to the PTC. The community helps the community! 

Dr. Matthew Forster, Orthodontist: Dr. Forster donates $50 to TMS for each new
orthodontic patient who is a student. His office is located at 1061 Fish Road (in the

Upcoming Fundraisers

Fall - Winter 
Yankee Candle Company - get your holiday shopping out of the way and support the PTC all at the same time! The TMS PTC keeps 50% of all the funds raised through yankee candle. Shoppers can order online or through a student's order form. A date prior to the holiday break is dedicated to purchase "pick - up" and the items are beautiful and smell wonderful too!

Spring
Spring bulbs - Order online or through our catalog. The PTC benefits by receiving 50% of the amount raised and or town benefits by the exceptional guarantee that our vendor offers. 

Dances
The TMS PTC is responsible for the concession stands only at the TMS dances (the PTC is not responsible for the admission cost or revenue). Each concession stand throughout the school year benefits a specific grade with the 8th grade receiving the concession stand profit from two dances within the 8th grade year (the 8th grade year is the most expensive year at TMS due to several fun and traditional activities). A schedule should post soon from the TMS administration. We ALWAYS need volunteers and food or drink donations for every dance! Please let us know if you can help! 



What do we actually do? 

Since September of 2016, the TMS PTC, made up of 7 officers and a seriously awesome group of volunteers accomplished raising money, throwing the "best Teacher Appreciation Luncheon" for the best middle school teachers anywhere and with the help of some off-the-chart awesome mom's & dad's and high school volunteers, we also sent the class of 2021 off to THS having a completely free cathedral camp trip and the most incredible 8th grade evening in TMS history! 



Here is last year's summary report:

We Raised over $6,000.00 through three (all grade)  fundraisers.

We supported five concession tables at all five middle school dances.

Coordinated several passive fundraisers that ran all year to include $943 in box tops!! 

Donated eight gift cards as prizes for the students of the month.

Donated a T-shirt to every athlete of the outstanding Unified Basketball team and their outstanding coaches! 

Sponsored a Civil War presentation by the Rhode Island Regiment for the 6th grade class!

Sponsored the cost of the freedom trail trip for the 6th grade to include buses and professional tour guides! 

Sponsored the cost of renting Cathedral Camp, to include the cost of the buses for the annual 8th grade trip! This trip was NO cost to our students! 

Contributed $100 to the CyberPatriots for the cost of future transportation to competitions! GO Foxes! 

Sponsored the flowers that Mrs. Tillinghast places in the front flower boxes. Thank you Mrs T! 

Sponsored a thank you gift to a volunteer author and speaker specific to the history of slavery.

Sponsored a “Paris in the Spring” teacher appreciation luncheon.

Sponsored an "Under the Sea" eighth grade evening to send the class of 2021 off in style!
